Founded in 1987 Force Equipment today boasts an experienced and professional team of over 200 staff across eight national locations and a fleet of over 140 heavy duty machines.Operating around Australia with an unwavering commitment to customer service, excellence in machinery presentation and the highest standards in safety. Force Equipment provides an integrated service for earth moving heavy-duty equipment hire, sales, and maintenance for mining, construction and infrastructure projects.

Their fleet is backed by a highly-skilled and knowledgeable workforce and their workshops are manned by earth moving plant mechanics and boilermakers qualified in all minor and major heavy-duty mining equipment repairs.

THE PROBLEM

Meeting Demands and Expectations

Force Equipment has two key aspects of their business the rental of mining equipment plus servicing of their own and client equipment. Each equipment rental needs to be treated as a unique job which accumulates all of the costs involved in the rental, from costs of minor services to operating the vehicle.

The servicing of equipment, refurbishments, auto mechanical and electrical work are treated as jobs. This allows them to cost the exact labour and material costs for all aspects of any maintenance including such things as welding, cutting, grinding or painting. This is required to give management a full profit and loss report on every rental and service job.

Tracking their purchases of equipment and assets including events where external suppliers are hired to do some of the work on specific equipment is now being cataloged and cost correctly. A major requirement for Force Equipment was a business management system that can handle jobs that may be done in days or stretch out over several months, including multiple invoice cycles. The new system needed to be able to manage ongoing variations and part-invoices.

Finally, they had seven staff maintaining jobs and keeping prices updated on their over a million inventory items. Their key parts supplier provided stock price updates on a regularly which meant a lot of manual work for the staff to keep their price database up to date.

THE OUTCOME

Big Machinery, Efficient Systems

With the implementation of Sybiz Vision in 1998, at which time they would manually create profit & loss reports per jobs, this was soon done automatically by the new system, immediately providing full visibility to workshop & senior managers. Management are now able to make well-informed business decisions based on the information available in Sybiz Vision. Many other benefits were achieved including a fully cataloged and maintained Asset Register.

AlphaBiz Solutions developed an EDI link to their primary supplier. This has allowed them to automatically create and send purchase orders and receive purchase invoices online, improving the flow of information and timeliness of client invoicing. With an inventory list of over a million records, price updates were critical to effective and reliable costing of jobs. An automatic import from their key parts suppliers has simplified this process dramatically and improved the reliability of the information in the system. Today only a few staff are required to maintain the hundreds of the jobs and millions of inventory parts.

Force Equipment management is now able to run job profitability reports, by service department, region or for the whole organisation. Their turnover has quadrupled since implementing Sybiz Vision and has continued to increase the volume and value of the information. Force Equipment has recently converted to the latest version of Vision, Sybiz Vision.NET streamlining their business even further.
